Message your contacts: one, selected, filtered or all

Send a message to a filtered list of contacts and personalise it with variables such as first name.

You can send a message from Contacts to one contact, to the contacts you tick, to everyone matching your current filter, or to all your contacts. Each contact gets their own private conversation, so nobody sees who else received the message.

1. Choose who receives the message

  • Selected contacts: tick the contacts on the list, then click Message selected contacts.

  • A filtered list: filter the list (for example by a tag), then click the three-dot menu at the top right and choose Message filtered contacts. The number in brackets shows how many contacts will receive it.

  • Everyone: with no filter applied, the same menu shows Message all contacts.

2. Write your message

The Message contacts window confirms how many contacts will receive the message. Add an optional subject and write your message. Click Templates to start from one of your saved message templates.

3. Personalise it with variables

Click Insert variable in the subject or the message box to add details that change for each contact:

  • Contact: First name, Last name, Full name and Company name;

  • Sender: your full name.

For example, start the message with Dear followed by the First name variable, and each contact sees their own name.

4. Send

Click Send to N contacts. Check the count before you send, particularly when messaging a filtered list.

Sending from your own email address

On accounts with a white-labelled domain, users can send contact messages from their own email address on the firm's authorised domain, so replies go straight back to them. To find out more, contact us.

Tip: keep your tags up to date and you can reach a whole segment, such as every bookkeeping client, in a few clicks.
