Add welcome message to client portals

A welcome message is the first thing your client sees when they open their portal. Use it to tell them what to do next - for example, to complete an onboarding workflow or upload their documents.


In MyDocSafe, welcome messages are created as Announcements. You can add them at two levels:

Level

Every portal in that group, including portals created later and portals created through your self-signup link

A standard welcome / "start here" message for all clients

Only that one portal

A message for one specific client

Add a welcome message to a whole portal group

  1. Click Portals in the top menu.

  2. Find your portal group in the list.

  3. Click the three dots in the Actions column, then click Announcements.

    You can also open the portal group and click Announcements in the left-hand menu.

  4. Click the + button.

  5. Type your message in the Message field. The limit is 1000 characters.

  6. Tick Let users delete the announcement if you want clients to be able to dismiss it. Leave it unticked if the message should stay on the page permanently.

  7. Optionally tick Add custom button and fill in Button label and Button link to send clients straight to the next step.

  8. Click Save.

The message now appears on the home page of every portal in that group.

Tip: link the client straight to their first task

The custom button is the easiest way to remove any guesswork. For example:

  • Message: "Welcome to your client portal. Your first step is to complete the Client Onboarding workflow. Please follow the steps shown there and provide the requested information and documents."

  • Button label: Start onboarding

  • Button link: the link to the Workflows section of the portal


Add a welcome message to one portal only

  1. Click Portals in the top menu.

  2. Open the portal group that contains the portal.

  3. In the portals table, click the three dots at the end of the portal's row.

  4. Click Announcements.

  5. Follow steps 4–8 above.

This announcement appears only in that portal. It is a separate list from the portal group's announcements — an announcement added here does not affect any other portal.


Make sure the announcement is visible on the portal home page

The portal home page is made up of sections, and a portal group admin can choose which sections appear and in what order. If Announcements has been removed from the shown sections, your welcome message will not be displayed even though it exists.

To check:

  1. Click Portals and open your portal group.

  2. In the left-hand menu, click Settings, then Home page.

  3. Look at the Shown column. Announcements should be listed there.

  4. If it is in the Available column instead, click the + next to it to move it across.

  5. Drag it to the position you want — near the top works best for a welcome message.

  6. Click Save.

You can also click Restore defaults to put all sections back in their standard order.

This setting applies to the whole portal group.


Troubleshooting: my welcome message is not showing

Work through these in order:

  1. Check which level the announcement was created at. An announcement created on one individual portal appears only in that portal. For a message that should reach everyone, create it at portal group level.

  2. Check the Home page settings for that portal group (see above) — Announcements must be in the Shown column.

  3. Check you are looking at the right portal group. Portals created through a self-signup link belong to the portal group that link was generated from. If a client signed up through a link for a different group, they will see that group's announcements, not yours.

  4. Check the portal is not a subportal. Subportals have their own announcements, separate from the parent portal group.

  5. Refresh the portal page. Clients already signed in may need to reload before a new announcement appears.

If the message is still not appearing for some clients but is appearing for others in the same portal group, contact support with the portal group name and the names of the affected portals.
