You can broadcast four types of message:
Simple message: a message to your clients.
Request documents: a standard email with a secure upload link for each portal.
Request information: a standard email with a link to a form for the recipient to fill out.
Request workflow completion: a personalised email with a direct link to start or resume a workflow.
1. Open Broadcasts
Go to Portals and open the portal group you want to message. In the left-hand menu, click "Broadcast Message".
You'll land on the "Broadcasts" page, which lists every broadcast already sent from this portal group. Each row shows the type, the number of recipients and the date. Click the arrow on a row to see who received it and what the message said.
2. Create a broadcast
Click the "+" button next to "Broadcasts". The "Broadcast a message" screen opens.
a) Choose the type
Click the first drop-down and choose the type of broadcast. "Simple message" is selected by default.
Tip: choose the type first. If you change the type later, the portals you've selected are cleared.
b) Choose the form or workflow (Request information and Request workflow completion only)
For "Request information", pick a form under "Select a form". The list shows the form templates of this portal group. If it's empty, add a form in "Form templates" first.
For "Request workflow completion", pick a workflow under "Select a workflow".
c) Choose which portals receive it
By default, a broadcast goes to every portal in the group. To send it to some portals only, select them in the portals field.
For "Simple message", "Request documents" and "Request workflow completion", optionally select portals under "Filter by portals (optional — leave empty to send to all)". Leave the field empty to send to everyone.
For "Request information", you must select at least one portal. Some forms can only go to one portal. In that case the field reads "Portal (this form can be sent to one portal only)".
Good to know: you're choosing portals, not individual people. Everyone with access to a selected portal receives the broadcast.
d) Write your message
Type your message in the "Message" box. It's required for "Simple message" and "Request documents", and optional for the other two types.
Optionally, click "Templates" to insert a saved message template. To reuse the text you've just written, click "Templates", then "Save as a template".
e) Send it
Click the send button. Its label tells you who will receive the broadcast:
"Broadcast to N recipients": no portals selected, so everyone in the group receives it.
"Broadcast to selected portals (N)": the broadcast goes only to the N portals you picked.
"Send a request": shown for "Request information" and "Request workflow completion".
Your clients receive the broadcast by email, and it appears at the top of the "Broadcasts" list.
