You can restrict a company role so that its members only see contacts with certain tags. For example, a Sales role can see prospects but not your existing clients.
Before you start, tag your contacts (see Organise your contacts with coloured tags).
1. Open the role
Go to Settings > Company Roles and click the role you want to edit, or click + to create one.
2. Switch to custom access
Click Custom access. Custom access rights replace admin access when you save, so check the rest of the role's permissions as well.
3. Choose the tags
Under General > Contacts, click Custom. Then:
in Tags, select the tags this role may see;
in Access to these contacts, choose the level of access, for example Read/Write.
Contacts with none of the selected tags are hidden from this role. Click Save.
4. Assign the role
Go to Settings > Company Users and give the role to the team members who need it.
Good to know: Company Tasks access needs Contacts access. If you limit a role's contacts, check that its tasks and proposals still make sense for the people using it.
