How to set up automatic deadline reminders

Once a workflow has a deadline, MyDocSafe can email your client automatically before it's due. You set the timing once in your Company Settings, and it then applies to every workflow with a deadline.

Before you start

Reminders are sent relative to a workflow’s deadline, so a workflow needs a deadline before any reminders can fire. If you haven’t set one yet, see How to set a deadline on a workflow first, then come back here.

1. Open your reminder settings

Go to your Company Settings, open the Workflows tab and find the Portal Workflow Reminders section

2. Choose when reminders are sent

Click the “+” button and pick when you’d like us to email the client. Choose any one of these or pick a combination:

  • Two weeks before the deadline

  • A week before the deadline

  • Three days before

  • The day before

  • On the day it’s due

Most firms turn on more than one — a week before and again the day before, say — so the client is nudged gently rather than just once.

3. Optionally, add your own message

Optionally, attach a custom message so the reminder reads in your firm’s own voice

4. Save your settings

Click the “Save” button to apply your reminder schedule.

What happens next

From now on, whenever a workflow has a deadline, we’ll email the client ahead of it on the schedule you chose — automatically.
