How do I bill a client I onboarded with Stripe for extra, one-off work?

Need to charge a client who already pays you by card for extra, one-off work? Send them an invoice with a card payment link or a new quote in their portal – without changing their regular payments.

Which option should I use?

Your situation

Best option

You want to bill a one-off amount now

Send an invoice with a card payment link (recommended)

The extra work needs your client's approval first, or adds a new recurring service

Send a new quote in their portal

Your client's existing recurring payments carry on as normal whichever option you choose.

1. Send an invoice with a card payment link (recommended)

This keeps the charge, the invoice PDF and the "Paid" status together in MyDocSafe.

  1. Go to Proposals/Invoices and click the "+" button.

  2. In the Client field, select your client.

  3. Set the Issue date and Due date.

  4. Add the extra work as lines. Pick a service from your list, or type your own description and price.

    • Optionally, click "Import" on the time-entries banner to bill hours you've tracked for this client.

  5. Click "Save & send".

  6. In the "Send Invoice" window, tick "Credit/Debit Card (Stripe)".

  7. Optionally, add a Personal Message explaining the extra work, for example "Here's the invoice for the additional VAT return we discussed."

  8. Click "Send Invoice".

What your client experiences

Your client receives an email with the invoice summary, the PDF and a "Review and pay" button. They click it, check the invoice and pay on Stripe's secure checkout page - no login needed.

What you'll see

As soon as the payment goes through, the invoice changes from Sent to Paid in Proposals/Invoices, and the money arrives in your Stripe account like any other payment.

Good to know:

  • The payment link works for 30 days. If your client misses it, duplicate the invoice and send the new one.

  • Stripe has a minimum charge (for example $0.50 USD)

  • Optionally, also tick "Direct Debit (GoCardless)" to give your client a choice.

2. Send a new quote in their portal

Use this when your client should approve the extra work before you start, or when it adds something ongoing, such as monthly payroll.

  1. Open your client's portal and create a workflow that includes the "Services and payment" widget.

  2. Add the new services, or a service package, and include a Stripe payment.

  3. Click "Complete and send" and choose your client.

Your client receives an email, logs in to their portal, accepts the quote and pays.

Advanced scenarios

Note that we cover quite a few related situations. You can:

  • set a recurring service in a quote to start billing on a later date, or a number of days after your client accepts;

  • turn tracked hours straight into invoice lines with the time tracker;

  • duplicate a past invoice to bill the same extra work again next month.
