Once TaxNav is connected, you can invite your MTD clients to your TaxNavHQ dashboard straight from MyDocSafe. Your clients keep their digital records and send their quarterly updates in TaxNav, guided by its assistant, Navi. You see where each of them stands — without doing the data entry yourself. Everything lives in Practice/TaxNavHQ.
Before you start:
Connect your TaxNav account — see How do I set up my TaxNav agent account in MyDocSafe?
Have your client's email address ready.
Decide who pays for the client's TaxNav licence. If they don't have one, you can buy it on their behalf while inviting them
1. Open TaxNavHQ
Click "Practice" in the top menu, then "TaxNavHQ" in the left-hand menu.
2. Invite a client
Click "+" button nect to "TaxNavHQ clients"
Enter the client's name or email address and select them from the list
Choose how the client's licence is covered:
The client already has a TaxNav licence — nothing to buy.
Buy a licence on their behalf — we purchase it for them automatically.
Click "Send invite link"
What your client experiences
Your client receives an invitation email. They click the link, then sign in to TaxNav — or create their TaxNav account if they don't have one — and they're linked to your practice. From then on, they record income and expenses in TaxNav and submit their quarterly updates with Navi's help.
What you'll see
The client appears in your TaxNavHQ dashboard. As they work through the MTD cycle, you'll see whether their quarterly submissions are ready, due or overdue, and TaxNavHQ's automatic reminders help keep them on track.
Common issues and what they mean
My client hasn't received the invitation — ask them to check their spam or junk folder, and check the email address you entered.
My client already uses TaxNav — that's fine. They sign in with their existing account when they accept, and there's no need to buy them another licence.
Advanced scenarios
Note that you can combine TaxNavHQ with the rest of MyDocSafe. You can:
tell all your MTD clients about the change at once with a broadcast (see How do I broadcast a message or request to many portals at once?);
collect signed engagement letters or authorisations through an onboarding workflow (see Portal workflows: visibility, sharing and onboarding – what your clients will see);
request supporting documents for each quarter through your client portals.
