7. Send a quote/proposal by email

Sending a quote, proposal or pre-onboarding workflow is a powerful way to sell professional services, or to vet potential clients before you decide to engage with them. Your prospect can review the quote, accept it and send you documents, all in one place.

Before you start, add your services and prices (see 6. Add your services).

1. Create a proposal group

Click Proposals in the top menu. Proposal groups keep your proposals organised by client, project, team or business area. A default group, Quotes & Proposals, is already there, so you can use it or create your own: click the + button next to Proposal Groups, enter a name and click Create. The name is not visible to your clients.

2. Start a new proposal and choose the recipient

Open your group and click the + button. In Step 1: Who should receive the proposal?, start typing to search your contacts, or choose Add a new contact to create one on the fly (first name, last name and email address).

Leave Proposal Template set to New workflow unless you have already created proposal workflow templates. Then click Go to step 2.

3. Build your workflow

Your proposal is a workflow made of steps ("widgets"). Click the + button to see them all: Request a signature, Ask to view and approve, Upload documents, Services and payment, Message Page, Form, ID Verifications, Invite to TaxNavHQ and Video. Each widget is configured separately, and you can drag steps to reorder them.

4. Add the Services and payment step

Choose Services and payment. Under Payment, choose one of:

  • No payment: your prospect sees and approves the quote.

  • Stripe or GoCardless: your prospect accepts the quote and pays or sets up a payment method. Connect your Stripe or GoCardless account first (use the Open settings link).

If you use Xero, you can also tick Create Invoice in Xero under Integrations.

Under Services, click Apply service package to add a whole bundle at once, or switch services on one by one. Choose the currency, check the prices and click Save.

5. Add more steps

Add any other steps you need. For example, add Upload documents and use the instructions box to ask for photo ID and recent bank statements once the quote is accepted. Tick The step is available only after all previous steps are completed so your prospect accepts the quote first.

6. Complete and send

When you're ready, click Complete and send, add a personal message and click Send.

7. Your prospect receives an email

Your prospect receives an email from your firm with a Proceed to proposal button.

The proposal opens in their browser. They can review the quote, download it as a PDF and click Accept quote, then move on to the next step.

8. Track your proposals

Back in your account, the proposal list shows each proposal's number, status, when your prospect last interacted with it and who it was sent to.

Advanced considerations:

  • Click Copy as template in the workflow editor to reuse a proposal quickly.

  • Use Workflow statuses to add your own statuses to each step for better reporting, and Reminders to chase prospects automatically.

  • Once a proposal is accepted, invite your client to a regular portal.
