The easiest way for you to share a cheat sheet with your clients is to define a video or an article URL in the 'tutorial' tab of portal group settings. Go here to learn more.
A quick introduction to portals
In this article we explain what you will see once you set up your login credentials and login for the first time.
If you have access to a single portal your user interface is likely to look something like this:
You will see the logo and the name of your portal provider in the top left corner
Portal navigation section will show available tabs. They will differ from what you see here as your portal provider can customise them. Let's go through the example above:
Dashboard - shows a welcome message, a tutorial button (that can take you to an article or a video), a list of notifications relevant to this portal and comments which you can post on the dashboard
Workflows - show all workflows published in the portal
Public Documents - shows a document library which you can view and download. You will not be able to upload documents to that folder
Signed documents - a folder with all documents you signed which were sent to you from this portal
Forms - structured questionnaires published in this portal
Tasks - a list of tasks set up by portal adminitrators
Messages - any messages sent to you by portal administrators
If you have access to more than one portal, the initial dasbhoard may look like this:
Let us explain what each button means:
The top left corner will usually show the logo and the name of the company that shares the portals with you.
If you see a “Switch” button it means that you can switch from your current portals to another company or even to your own private space from which you can send documents for signing.
Your ‘avatar’ is the icon in the top right corner. It shows the first letter of your first name by default. You can change it into your photo by uploading it in your personal settings.
Click on the ‘avatar’ logo to
Your Signatures dashboard which will show all documents you signed or need to sign
Chat rooms that are available
Encrypted email inbox (if it is enabled)
Notifications – if anything important happens in your account it will be listed in your notifications dashboard. A red circle will appear if there is anything new. You can adjust what types of notifications you care about in your personal settings.
Your personal contacts
Personal Settings. Go there to change your name, your avatar, language, time zone, password, 2-factor-authentication settings, and notification settings. If you have any new chats, announcements or documents to sign, the avatar will get a red ‘pill’.
Now, let’s look at what we see below the top navigation panel:
The ‘Home’ button will always take you back to your dashboard.
Documents – this button leads to your main directory with files and folders.
Signed Documents – if you have signed any documents, they will appear in this folder.
Forms – this button leads to forms, if they have been enabled by your adviser.
Chat – if the chat is enabled you will see this icon. A red circle will appear if there are new posts in one of your chat rooms. Each portal has a separate chat room which is shared between all users who have access to that portal.
Announcements – if your adviser left you any announcements, they will appear here.
Public documents – this area of your portal usually contains a library of generic documents or reports that your adviser wishes to share with all their clients. Treat this as a ‘read-only’ area.
Some portals can have subportals – in this case, a company director can access individual portals of his or her employees
