How to test the experience internally

When you set up a portal, a form or a document workflow, you will usually want to see it twice: once as the admin who built it, and once as the end user who receives it. This article covers the best practice we recommend to test it

1. Use a different browser or a different computer for each user

We recommend giving each user their own browser, so that both sessions can stay open side by side without overwriting each other.

  • Stay signed in as the admin in one browser (for example Chrome), and open the end user's invitation in a different browser (for example Safari or Firefox).

  • Alternatively, open the end user's link in a private/incognito window — this keeps it separate from your admin session.

  • Alternatively, test the end user on a different computer, tablet or phone from the one you use for admin work.

  • Optionally, set up a spare email address to use as your test client, so your real client records stay clean.

2. Using the same browser? Log one user out before acting as the other

If you would rather use a single browser, that is fine — just never try to be two users at once.

a) Finish what you are doing as the admin (for example, send the document for signing or copy the portal self-signup link).

b) Log out of the admin account: click your profile icon in the top right and choose "Log out".

c) Now open the end user's invitation email, or paste the portal self-signup link, and continue as the end user.

d) When you want to go back to the admin side, log the end user out first, then sign back in with your admin credentials.

Opening a new tab is not enough — tabs share the same session, so the new tab is still signed in as whoever logged in last.

3. What you will see if both users share a browser

If you are still signed in as user A and you click an invitation that was sent to user B, we will stop and tell you, rather than letting you act as the wrong person. You will see the "Invitation not for your account" screen:

You have two options here:

  • "Sign out and open this invitation" - signs user A out and opens the invitation as user B. Choose this when you are testing the end user experience.

  • "Continue to your account" - ignores the invitation and returns you to user A's account. Choose this when you clicked the link by accident and want to carry on as the admin.

This is expected behaviour, not an error. It simply means the invitation belongs to a different email address than the account currently signed in.

Common issues and what they mean

  • "Invitation not for your account" — you are signed in as one user and opening another user's link. See section 3 above.

  • The portal or document looks different from what you expected — check which account you are actually signed in as before assuming something is misconfigured; the admin view and the end user view are deliberately different.

  • The invitation link says it has already been used — an invitation can only be accepted once. Resend it from the admin side to get a fresh link.

  • You are logged out unexpectedly — accepting an invitation as a different user ends your previous session in that browser. This is why we recommend a second browser.
